ScoutSignal Privacy Policy

ScoutSignal is developed and operated by Content Dept LLC, a United States limited liability company.
ScoutSignal is designed to keep production information under your control on your iPhone. Content Dept LLC does not operate a ScoutSignal cloud database, require a ScoutSignal account, use advertising technology, or sell personal information.
This Privacy Policy explains what information ScoutSignal handles, where that information is stored, when information may leave your device, and the choices available to you.
1. Who Is Responsible for Personal Information
Content Dept LLC is the data controller for personal information that Content Dept actually receives through ScoutSignal support, purchase administration, privacy requests, or related communications.
Content Dept does not receive or control the projects, location records, photos, recordings, checklists, notes, roster contacts, or other production information stored locally inside ScoutSignal.
If you enter information about clients, crew members, property owners, talent, vendors, or other people, you are responsible for having an appropriate legal basis, business purpose, or permission to use that information.

2. Information Stored by ScoutSignal
Depending on the features you use, ScoutSignal may store the following information:
Project and client names
Production dates, shoot schedules, wrap times, and call times
Location names, addresses, scout dates, and precise coordinates
Location contacts and phone numbers
Location Bucket records
Photos and profile photos
Short ambient audio recordings
Relative sound measurements
Connectivity test results
Production, safety, security, lighting, release, access, logistics, and facility checklists
Review selections, statuses, and notes
Nearby emergency-service results
Creative Roster names, roles, phone numbers, email addresses, locations, agencies, day rates, social media handles, websites, profile photos, and notes
Project crew assignments
App preferences, appearance settings, and onboarding progress
This information is stored within ScoutSignal on your device unless you intentionally export or share it. Content Dept cannot remotely view, retrieve, modify, or delete this information.
ScoutSignal does not currently provide its own cloud-sync or account-storage service.
However, iOS may include ScoutSignal app data in an iCloud Backup or a backup made to a computer, depending on your Apple Account and device settings. Those backups are controlled by you and Apple, not Content Dept.
3. Device Permissions
ScoutSignal may request the following iOS permissions:
Camera
Camera access allows you to take location, reference, and roster profile photos inside ScoutSignal.
Photo Library
ScoutSignal uses Apple’s photo picker so you can select specific photos from your library. ScoutSignal does not require unrestricted access to your entire photo library when the limited picker is available.
Location
Location access allows you to capture your current coordinates and an available street address.
ScoutSignal does not continuously track or monitor your location. Location is requested only when you use a feature that requires a current location reading.
A nearby emergency-services search uses coordinates already saved to the applicable ScoutSignal location. It does not request another live location reading.
Microphone
Microphone access allows ScoutSignal to record a short ambient audio sample and calculate relative sound measurements.
ScoutSignal does not listen continuously or record audio in the background. Audio capture occurs only after you start a sample.
You can decline these permissions and continue using features that do not require them. Permissions can be reviewed or changed through iOS Settings.
4. Information Transmitted From Your Device
Most ScoutSignal activity occurs locally. Information may leave your device in the following situations.
Connectivity Tests
If you choose to run a connectivity test, ScoutSignal sends download, upload, and latency test requests to Cloudflare.
Cloudflare may receive your IP address, routing information, system or network configuration information, request timing, and standard network metadata. A connectivity test may transfer up to approximately 65 MB of data.
ScoutSignal does not send projects, contacts, photos, recordings, notes, coordinates, or Creative Roster information to Cloudflare. Test results are saved locally in ScoutSignal.

Nearby Emergency Services
If you select “Refresh Emergency Services,” ScoutSignal sends an Apple Maps search for nearby hospitals and police stations using the coordinates saved for that location.
Apple receives the search terms, search region, and standard request information necessary to return the results. ScoutSignal locally saves the selected result’s name, address, phone number, coordinates, approximate distance, and update date.
Emergency-service search results may be inaccurate, incomplete, or outdated. ScoutSignal allows you to manually correct the saved information.

Support, Privacy Requests, and Feedback
If you choose to email Content Dept, Content Dept receives your email address, message, attachments, and any other information you choose to include.
A bug-report or beta-feedback email draft may include the ScoutSignal version, general device model, and iOS version to help diagnose the problem.
Exports and Sharing
ScoutSignal allows you to create PDF reports, share ambient recordings, and share text containing production or location information.
When you use Apple’s share interface, you choose the recipient, application, or third-party service that receives the information. Once shared, that information is handled by the recipient or service under its own privacy practices.
Location shares may include:
Location name
Location type
Street address
Precise coordinates
Apple Maps link
Google Maps link
Waze link
ScoutSignal creates this share text locally. Creating the text does not contact Google Maps or Waze. Opening one of the links sends the address or coordinates contained in that link to the applicable map provider.

Apple Services
Apple distributes ScoutSignal, provides MapKit and other device services, operates TestFlight and the App Store, and may process purchases if paid features are introduced.
Depending on your Apple settings, Apple may also provide Content Dept with transaction records, aggregate usage information, crash reports, or diagnostic information. Content Dept does not receive full payment-card details.
5. How Content Dept Uses Information
Content Dept may use information it actually receives to:
Respond to support and privacy requests
Diagnose defects and performance problems
Maintain and improve ScoutSignal
Administer purchases or paid features
Prevent fraud, abuse, or security threats
Meet tax, accounting, and legal obligations
Establish, exercise, or defend legal claims
Content Dept does not use ScoutSignal information for third-party advertising, cross-app tracking, data brokerage, or behavioral profiling.
ScoutSignal’s completion percentages and checklist summaries are local organizational tools. They are not automated decisions that produce legal or similarly significant effects.
6. Legal Bases for European Processing
Where European Union, European Economic Area, United Kingdom, or Swiss data-protection law applies, Content Dept may rely on:
Performance of a contract to provide purchased features or requested support
Legitimate interests in securing, troubleshooting, maintaining, and improving ScoutSignal
Consent for optional permissions or transmissions where consent is required
Legal obligations involving transaction, accounting, tax, fraud-prevention, and compliance records
The establishment, exercise, or defense of legal claims
Where processing is based on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that occurred before consent was withdrawn.
7. Disclosure of Information
Content Dept may disclose information it actually receives:
To providers supporting app distribution, communications, customer support, accounting, and business records
When required by valid legal process
When reasonably necessary to address fraud, security threats, unlawful conduct, or risks of harm
In connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets
At your direction or with your consent
Content Dept does not sell personal information or share personal information for targeted or cross-context behavioral advertising.
Apple, Cloudflare, Google, Waze, email providers, and services selected through the iOS share interface may act as independent organizations under their own privacy policies.
8. Retention and Deletion
On-device ScoutSignal content remains until you delete the applicable content or delete the app.
Copies may remain in an iCloud or computer backup until that backup is replaced or deleted through your Apple backup settings. Content Dept cannot access or remotely delete those backups.
Support, feedback, and privacy correspondence is ordinarily retained for up to 24 months after the matter is resolved. Information may be kept for a shorter period when appropriate or for a longer period when required for security, legal compliance, accounting, or legal claims.
Purchase, accounting, and legal records are retained as required by law and legitimate business obligations.
You can:
Delete individual ScoutSignal records using the app’s controls
Permanently delete projects and their associated local files
Delete locally stored ScoutSignal content by deleting the app
Manage iCloud and computer backups through your Apple settings
Request deletion of personal information Content Dept actually possesses by emailing Chris@Content-Dept.com
The Clear Cache feature removes disposable generated files. It does not delete saved projects, locations, photos, roster contacts, or recordings.
9. Security
ScoutSignal uses Apple’s application sandbox and iOS security protections to separate its local files from other applications.
Content Dept uses reasonable administrative and technical safeguards for information it actually receives. No device, transmission method, or storage system can be guaranteed completely secure.
You should protect your iPhone with a passcode, keep iOS updated, maintain appropriate backups, and use care when exporting confidential production or personal information.
10. International Transfers
Content Dept is based in the United States.
If you contact Content Dept from another country, information may be processed in the United States and in other locations where relevant service providers operate.
Where required, international transfers are supported by recognized safeguards, contractual commitments, adequacy decisions, or another lawful transfer mechanism.
11. Your Privacy Rights
Depending on where you live and whether the applicable law applies to Content Dept, you may have the right to request:
Information about personal data processing
Access to personal information
Correction of inaccurate information
Deletion of personal information
Restriction of certain processing
Portability of personal information
Objection to certain processing
Withdrawal of consent
Limits on certain uses of sensitive information
Equal treatment when exercising privacy rights
Content Dept does not sell personal information or share it for targeted or cross-context behavioral advertising.
Most ScoutSignal information exists only on your device. Content Dept may therefore have no ability to locate, access, correct, export, or delete that information. You can manage locally stored information directly inside the app.
Requests concerning information Content Dept actually holds may be sent to Chris@Content-Dept.com with the subject “ScoutSignal Privacy Request.”
Content Dept may need to verify your identity or authority before completing a request.
European, UK, and Swiss residents may also submit a complaint to their local data-protection supervisory authority. California and other eligible United States residents may have additional rights under applicable state privacy laws.
12. Children’s Privacy
ScoutSignal is a professional production tool and is not directed to children under 13.
Content Dept does not knowingly collect personal information through ScoutSignal directly from children under 13. If you believe a child has sent personal information to Content Dept, email Chris@Content-Dept.com so the information can be reviewed and deleted where appropriate.
Users who store information about minors, including talent or release information, are responsible for obtaining any required parent or guardian permissions and handling that information lawfully.
13. Third-Party Services
ScoutSignal currently uses or interacts with the following third-party services:
Apple for App Store distribution, TestFlight, device permissions, iOS sharing, MapKit searches, device backups, purchases, and optional diagnostics
Cloudflare for optional connectivity-test traffic
Google Maps when a user or recipient opens a generated Google Maps location link
Waze when a user or recipient opens a generated Waze location link
Email and sharing providers selected by the user
ScoutSignal does not currently include third-party advertising SDKs, behavioral analytics SDKs, social-media tracking SDKs, or a Content Dept cloud-storage service.
14. Changes to This Policy
Content Dept may update this Privacy Policy when ScoutSignal’s features, service providers, business practices, or legal obligations change.
The revised policy will show a new “Last updated” date. Material changes will be communicated through the app, the ScoutSignal website, or another appropriate method when required.
